Cloudinary Folders and Collections for Digital Brand

Overview

The way in which the Digital Brand team use Cloudinary will change slightly with the move to the flat folder structure (for more detail on this change generally see ADR 003). We want to move away from the creation of multiple subfolders and encourage the use of Cloudinary Collections where possible. In the cases where folders or subfolders are needed, we want to remind teams of the SEO impact of folder creation, hierarchy and naming. By keeping the folder structure as flat as possible, it also makes it easier for Digital Merch to find the assets they need (in the location and event folders).

Folders

As part of the new folder structure there will be 4 initial folders - mannequin, triptych, location and event. Location and event folders will be owned and managed by Digital Brand and filenames for assets within those folders will have to follow a naming convention (see resources section). This is because location and event assets will be used by the Digital Merchandising team to create Gallery components on PDPs, and we need to make sure that assets are easily searchable for Merch. We also scrape information from the filename.

We understand that Brand will be uploading and using assets that do not fit within these 4 folders. Additional folders at the base level can be created alongside these 4, however we would encourage the team to think about the naming and use of folders before creating them e.g. instead of putting an SVG icon into a folder called "misc", it could go into a more descriptive folder called "icons". Under the current proposal Merch would not be able to use assets that are not contained in either the mannequin, triptych, location or event folders for syncing with any kind of component in Hybris.

We want to promote the use of Collections instead of subfolders within any of the folders that are created at base level. With subfolders, the asset path becomes longer which can cause complications for any assets that will be synced with Hybris (each subfolder is added to the asset path and therefore to the asset URL). Multiple nested levels of subfolders can make navigating assets much harder, and make it harder for teams to find the assets that they are looking for. Subfolders created without a descriptive folder name can harm our SEO ranking.

Any assets that are uploaded to folders outside of the mannequin, triptych, location or event folder should use the Standard upload preset. There is no naming convention required for those assets as they will not be used for the product sync with Hybris.

Collections

Cloudinary Collections allow you to visually group assets without affecting the asset path or the folder hierarchy. Instead of creating a subfolder for a particular feature or product collection, the assets could be uploaded to the relevant folders in the flat structure - location, event or any other relevant folder and instead grouped together in a collection making them easy to visualise.

If we are using asset URLs in SmartEdit that are located in a subfolder and later moved, the URLs will be broken. If assets are organised into Collections, they can be moved around without the URL changing, and therefore without the URLs in content breaking. One asset can belong to multiple Collections at the sane time, preventing any need for duplication. The URL for that asset would be unaffected by its placement in multiple Collections.
